Eventica is a backoffice for your team, a website for your event and native apps for iOS and Android. Everything is edited in one place and published to all three at once.

The backoffice

The application your team actually lives in. Content, structure, languages, participants, meetings, sponsors and reporting, in one interface.

Roles and permissions decide who can publish what. A content editor, a protocol officer and a sponsorship manager each see their own part of the event and nothing else.

Changes go live immediately. There is no release cycle and no ticket to raise.

The event website

The programme, speakers, content pages and the participant area, on the event's own domain, in a design made for that event.

Screens are assembled from widgets. Turn a section on when the programme is confirmed, hide it while it is still moving, reorder it when the priorities change. The structure is configuration, not development.

The mobile apps

Native iOS and Android, published under your brand, on our developer accounts or on yours. Nothing on screen identifies Eventica.

Participants get the programme, their own agenda, their meetings, chat, documents, venue maps and push notifications from the organiser.

Participants and access

Registration inside Eventica, or import from the registration system you already use.

QR scanning covers the entrance, individual session doors and attendance records. Participants also scan each other to exchange contacts, which replaces the pile of business cards nobody sorts afterwards.

Meetings and matchmaking

Your team builds the questionnaire in the backoffice, question by question, in the languages the event needs. Matching follows the rules you set, which means any suggested meeting can be explained to a participant, a delegation or a sponsor.

Meetings can be one to one or between several people. The system manages rooms and time slots and schedules around the live programme, so a confirmed meeting never lands on top of a session the participant is attending.

Participants keep their own notes against each meeting, so the record of a conversation stays with the meeting it belongs to.

One to one chat is available between participants.

During the session

Polls, voting and questions from the audience, run from the backoffice and answered by participants in the app. Presentations and documents published to participants as the session happens.

Sponsors, exhibitors and delegations

Sponsors and exhibitors have their own area, with their own content and their own visibility in the programme and the app.

VIP delegations can be given their own version of the app, with different content and reserved seating at the sessions they register for. What a delegation sees is a decision the organiser makes rather than a default.

Communication

Invitations, confirmations, reminders and announcements are sent from the platform by email, alongside push notifications to the apps. Everything goes out in the participant's language.

Languages

You choose the languages for each event. Full right to left support, including Arabic, across the website, the apps and participant communication.

Every translation is entered and approved by your team. Nothing is machine translated, because on this kind of programme an approximate translation of an official title is not a small mistake.

Reporting

How many registered participants actually arrived. Which sessions they attended, door by door. Which sessions they saved to their own agenda. How many meetings were requested, scheduled and held.

Available while the event is running, and after it closes.
