Privacy policy
Last updated: [date of publication]
This policy explains how Sipod Software collects and uses personal data through the Eventica website at eventica.rs, and what rights you have over that data.
It covers visitors to this website and people who contact us about Eventica. It does not cover participants of events that run on the Eventica platform. For those events, the event organiser decides how participant data is used and publishes its own privacy notice; we process that data on the organiser's behalf and under a written agreement with them.
Who is responsible for your data
The controller of personal data collected through this website is Sipod Software [legal form], registered in the Republic of Serbia under company number [company number], tax identification number [PIB], with its registered office at [street address], Belgrade, Serbia.
For any question about this policy or your personal data, write to contact@eventica.rs.
What we collect
We collect only what we need to answer you and to keep this website running.
- Demo requests: when you use the contact form, we receive your name, your organisation, your email address, the name or description of the event you are planning, and when and where it takes place.
- Email: when you write to us directly, we receive your email address, the content of your message and anything you choose to attach or include.
- Technical data: when you visit the website, our hosting provider records standard server logs, such as your IP address, browser type, the pages requested and the time of the request.
We do not ask for special categories of personal data, and we ask you not to send them to us. We do not buy personal data from third parties.
Why we use it and on what legal basis
- To respond to your demo request or message, arrange a demonstration and discuss a possible engagement. The legal basis is taking steps at your request before entering into a contract and, where you contact us on behalf of an organisation, our legitimate interest in replying to business enquiries.
- To keep a record of our correspondence with prospective and existing clients. The legal basis is our legitimate interest in running and documenting our business.
- To operate, secure and troubleshoot the website, including detecting abuse. The legal basis is our legitimate interest in providing a secure and reliable website.
- To comply with legal obligations, for example accounting, tax or requests from competent authorities. The legal basis is compliance with a legal obligation.
We do not use your data for automated decision-making or profiling, and we do not send marketing newsletters. If we ever want to contact you about something other than your enquiry, we will ask for your consent first.
Who we share it with
We do not sell or rent personal data. We share it only with service providers that help us run this website and our communication, and only to the extent they need it:
- the hosting provider of this website: [hosting provider];
- the service that receives and delivers contact form submissions: [form service provider];
- our email provider: [email provider].
These providers act on our instructions and are bound by contractual confidentiality and data protection obligations. We may also disclose data where the law requires it, or to establish, exercise or defend legal claims.
International transfers
Some of our service providers may process data outside the Republic of Serbia or the European Economic Area. Where that happens, we rely on the transfer mechanisms recognised by applicable law, such as an adequacy decision or standard contractual clauses, so that your data keeps an equivalent level of protection.
How long we keep it
- Demo requests and correspondence that do not lead to an engagement: up to [24] months after our last exchange, then deleted.
- Correspondence with clients: for the duration of the engagement and as long afterwards as required by law or needed to defend legal claims.
- Server logs: up to [30] days, unless needed longer to investigate a security incident.
Cookies
This website does not use advertising or analytics cookies and does not track you across other websites. The fonts and images are served from our own domain, so visiting the website does not send your data to third-party font or content providers. Details are in our cookie notice.
How we protect it
The website is served over an encrypted connection. Access to demo requests and correspondence is limited to the people at Sipod Software who need it to respond to you, and our providers are required to apply appropriate technical and organisational security measures. No system is completely secure, but we take reasonable care to protect personal data against loss, misuse and unauthorised access.
Your rights
Under the Serbian Law on Personal Data Protection and, where it applies, the EU General Data Protection Regulation, you have the right to:
- ask whether we hold personal data about you and receive a copy of it;
- have inaccurate data corrected or incomplete data completed;
- have your data deleted where there is no longer a reason for us to keep it;
- restrict how we use your data in certain circumstances;
- object to processing based on our legitimate interest;
- receive the data you gave us in a structured, machine-readable format and have it transferred to another controller;
- withdraw consent at any time, where processing is based on consent, without affecting processing that took place before.
To exercise any of these rights, write to contact@eventica.rs. We will reply within 30 days and may ask you to confirm your identity first.
You also have the right to lodge a complaint with the Commissioner for Information of Public Importance and Personal Data Protection of the Republic of Serbia (poverenik.rs) or, if you are in the European Economic Area, with the data protection authority in your country.
Children
This website is intended for professionals and organisations. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.
Changes to this policy
We may update this policy when our website, services or legal obligations change. The current version is always published on this page, with the date of the last update at the top.
